1. Booking Confirmation

The reservation of the event, rooms, and related services shall be considered confirmed exclusively upon:

• Acceptance of the quotation
• Payment of the required deposit

Acceptance of the quotation automatically implies full acceptance of these Terms & Conditions.

2. Deposit and Payments

A non-refundable deposit equal to the amount specified in the quotation is required to confirm the event.

Unless otherwise agreed in writing:

• The final balance must be paid exclusively by bank transfer
• Payment must be credited at least 7 days prior to the event

In the event of non-payment within the agreed deadline, K SRL reserves the right to:

• Suspend access to the venue;
• Deny access to external suppliers;
• Suspend setup activities and preparations;
• Cancel the event without any obligation to provide a refund.

Credit card payments or other electronic payment methods may be refused at the sole discretion of the venue.

3. Prices and VAT

All prices are expressed in Euro, excluding VAT, unless otherwise specified.

The applicable VAT rate shall be that in force on the invoice date.

4. Guest Numbers

The final guaranteed number of guests must be communicated no later than 14 days prior to the event.

After this deadline:

• Reductions will not be accepted
• Any increases shall remain subject to availability and approval

The communicated number shall be considered the minimum guaranteed and billable attendance.

5. Quotations, Modifications, and Additional Requests

The initial quotation includes:

• A maximum of 2 quotation revisions/modifications;
• A maximum of 2 additional e-mails for organizational clarifications.

Further requests, substantial modifications, continuous changes, extraordinary organizational activities, or particularly complex requirements may result in the application of additional management and consultancy fees.

K SRL reserves the right to apply additional charges in the event of:

• Repetitive or excessive requests;
• Continuous modifications after quotation approval;
• Particularly complex operational requests;
• Numerous calls, site inspections, or coordination activities;
• Extraordinary supplier management;
• Excessive communication volumes;
• Organizational requests requiring a significant additional commitment of time and personnel.

Such charges may apply, in particular, where wedding planners, agencies, or external coordinators submit requests considered excessive or disproportionate compared to the standard management of the event.

Management fees may start from €150.00 + VAT for each additional revision, organizational session, or communication block, without prejudice to higher fees proportionate to the actual workload generated.

6. Wedding Planners and External Suppliers

The venue is pleased to collaborate with previously authorized wedding planners and external suppliers.

However:

• All communications must remain organized and reasonable;
• Requests should be consolidated whenever possible;
• The venue shall not be held responsible for inefficiencies caused by third parties.

In the event of excessive requests, continuous operational interference, numerous meetings, site inspections, calls, technical requests, or extraordinary coordination activities, the venue reserves the right to apply additional management fees.

The venue also reserves the right to limit communications to specifically designated contacts.

7. Event Schedule and Additional Hours

Use of the venue is permitted exclusively during the hours indicated in the quotation.

Additional hours are subject to availability and may incur supplementary charges based on:

• The type of service requested;
• The personnel involved;
• The operational impact generated by the extension of the event.

8. Music and Noise Restrictions

Outdoor music must comply with all applicable legal limits and any regulations imposed by local authorities.

The venue may request a reduction in volume or the interruption of music at any time in the event of necessity, inspections, complaints, or legal obligations.

No refund shall be due for any limitations imposed by public authorities.

9. Liability for Damages

The client shall be responsible for any damages caused by:

• Guests;
• Wedding planners;
• Suppliers;
• Collaborators;
• Any persons connected with the event.

Any restoration, extraordinary cleaning, replacement, or repair costs shall be charged in full to the client.

10. Force Majeure

K SRL shall not be liable for limitations, delays, or impossibility of performance resulting from force majeure events.

11. Event Cancellation

The deposit is strictly non-refundable.

In the event of cancellation:

• All amounts already paid shall be retained;
• Any costs already incurred by the venue shall be fully reimbursed by the client.

12. Event Postponement

The event may be postponed only if:

• Requested at least 12 months prior to the scheduled date;
• Subject to venue availability;
• Accepted together with any updated pricing conditions.

Requests made with less than 12 months’ notice may result in the total forfeiture of all amounts already paid.

13. Use of Images

The venue reserves the right to use photographs and videos of the event for promotional purposes, unless written objection is submitted prior to the event.

14. Jurisdiction

Any dispute arising from or relating to these Terms & Conditions shall be subject to the exclusive jurisdiction of the Court of Verona, Italy.

15. Event Organization, Wedding Plan and Compliance with Event Schedule

The Client agrees to complete and submit the Wedding Plan, organizational questionnaires and all documentation requested by the Venue no later than 15 days prior to the event date.

Failure to provide the requested information within the specified deadlines may result in operational and organizational limitations for which K SRL shall not be held responsible.

The event end time indicated in the quotation and/or Wedding Plan shall be considered final, binding and an essential element of the agreement.

Unless expressly authorized in writing by the Venue in the days preceding the event, no extensions of the event schedule may be requested or granted during the event itself.

At the agreed event end time:

* all music must be stopped immediately;
* all event services must cease;
* guests must vacate the party and event areas;
* suppliers must commence dismantling operations in accordance with the Venue’s instructions.

Should the event spaces remain occupied beyond the agreed end time for any reason attributable to the Client, guests, suppliers, wedding planners or event coordinators, an immediate contractual penalty of €1,000.00 plus VAT shall apply.

Such penalty shall be additional to, and not in substitution of, any further damages, personnel costs, security interventions, extraordinary cleaning costs, compensation claims or any other expenses incurred by the Venue, all of which shall remain entirely at the Client’s expense.

The Venue further reserves the right to discontinue any service and require the immediate evacuation of the event areas upon reaching the agreed closing time.

16. It is strictly prohibited to bring onto the premises or consume any food or beverages originating from outside the property.
In the event of a violation, the Venue reserves the right to discontinue services, require the immediate removal of such products, and apply additional charges for management, cleaning, waste disposal, and loss of revenue.
